Adjusting crop inventory and storage

Field Manager PRO provides an accurate inventory of the individual crop amounts you have on hand. When you harvest, sell or adjust a crop, your inventory is also adjusted and the record shows up inInventory dialogue box.

The Inventory dialogue box displays all inventory transactions from first to last.

To open the Inventory dialogue box, click the Inventory icon on the toolbar or select  from the Recordsmenu.

You can filter the results by selecting a specific crop or you can click <All> to show transactions for all crops.

Recording a new inventory adjustment

Through the Inventory Adjustment dialogue box, you can enter manual changes to your inventory that are not part of a harvest or sale. For example, to record a GOPP payment. You can also use Inventory Adjustment to remove damaged crop from your inventory.

To add new inventory:

  1. Click New Inventory Adjustment… in the Inventory dialogue box. The Inventory Adjustmentdialogue box opens.
  2. Select the General tab and enter the required information.
  3. Select the Adjust Storage tab and enter the information.
  4. Click Save & Close.

To edit an inventory adjustment:

  1. Select a crop from the left menu panel and double click the applicable inventory adjustment in the options panel or select it and click the Edit icon.
  2. Select the General tab and update the information as required.
  3. Select the Adjust Storage tab and update the information as required.
  4. Click Save & Close.

To delete an inventory adjustment:

  1. Select the applicable inventory adjustment.
  2. Click   or press Delete on your keyboard.

The Inventory Adjustment dialogue box features two tabs. Information in the General tab is required. It includes:

  • Date Adjusted - Enter the date of the inventory adjustment.
  • Description - Enter a description for the inventory adjustment or choose one from the drop-down menu. Click the pencil icon to modify an existing description.
  • Crop - Select the crop you’re adjusting. If it’s not in the list, add it by selecting Crops to Harvest in the Setup menu.
  • I want to - Select the type of adjustment you want to make. Enter the quantity you want to add or remove and select the appropriate unit.
  • Notes - Enter any additional information for this entry.
  • Created - This displays the date and time the record was first created.
  • Updated - This displays the date and time the record was last updated.

Information in the Adjust Storage tab is optional. You can use this tab to add or remove your crop from storage. To prevent data entry errors, the pick list only displays storage locations that are defined for the active crop year, and contain the crop you’re adjusting, or are empty.

To remove sold inventory from storage, click the  icon and select one or more items from the pick list. To delete a selected storage location from the list, click the  icon or press Delete on your keyboard.

  • Name - This displays the name of the selected storage location(s).
  • Action - This displays whether you’re adding or removing crop from the storage location(s).
  • Amount - Enter the amount you want to add or remove.
  • Stored - This displays the amount of crop currently stored in the storage location.
  • Free Space - This displays the amount of free space remaining in the storage location.
  • Notes - Enter any additional information for this entry. 

The Lot #s tab appears in the Inventory Adjustment dialogue box if you selected the Show Inventory Lot #s check box in Show/Hide Features preferences. It allows you to associate lot numbers with your inventory adjustment, to track your inventory containers from production to sale.

To add a lot number, click the  icon. You can add as many as you want. To delete a lot number, select it in the list and click the  icon.

You can use the Inventory dialogue box to move a crop from one storage location to another.

Only storage locations that contain the selected crop will appear in the From list and only storage locations that are either empty or already contain the selected crop will appear in the To list.

To add a new storage location transfer:

  1. Click New Storage Location Transfer. The Storage Location Transfer dialogue box opens.
  2. Enter the required information:
  3. Click Save & Close.

To edit a storage location transfer:

  1. Select the transfer you want edit.
  2. Click the  icon or double-click the item.
  3. Make your required changes.
  4. Click Save & Close.

To delete a storage location transfer:

  1. Select the transfer you want to delete.
  2. Click the  icon or press Delete on your keyboard.
