Entering orders

You can use the Orders dialogue box to enter shipping orders, track your orders and print labels for shipping containers.

The Orders dialogue box has the following icons:

  • Save & Close - Click to save the information and close the dialogue box.
  • Save - Click to save the order.
  • New - Click to create a new order.
  • Duplicate - To duplicate an order, select an item from Choose Order and click Duplicate.
  • Edit – To edit an item, select it from Choose Order, click Edit, make your desired changes and clickSave or Save & Close.
  • Undo – Click to cancel adding or editing an item.
  • Delete - To delete an item, select it from Choose Order and click Delete.
  • Print - To print an order, select an item from Choose Order and click Print.

Note: You can also select filter items in the Choose Order list by selecting AllNot CompletedReady to Ship or Shipped from the Filter drop-down menu.

To create a new order:

  1. Click Enter Orders from the Orders menuThe Orders dialogue box appears.
  2. Enter the order details:
  3. Date Ordered - Select the date the order is created on.
  4. Entered By - Select an employee from the list.
  5. Customer - Select or add a customer from the list.
  6. Purchase Order # - Enter the purchase order number.
  7. Order Shipped - Check this box when the order has been shipped and select the date it was shipped. This check box is only available after you’ve completed the order. The following features will be available once you select this check box:
    • Loaded By - Select an employee from the list.
    • Transported By - Select or add a trucking company from the list.
    • Truck/Trailer ID - Enter identification information for the truck or trailer being loaded for shipping.
    • Destination - Select or add a destination for the shipped order.
    • Truck Inspected - Select this check box if the truck or trailer has been inspected.
    • Truck Covered - Select this check box if the truck or trailer is covered.
    • Notes - Add additional information about the order.

To add a pallet to an order:

  1. Click Add to open the Assemble Pallet dialogue box.
      Note: You can select a pallet(s) from the list and click Delete to remove it. Note: You can clickPrint to print labels for the pallet(s). The printed report will include all information from the Orders Entry dialogue box.
  2. Enter the following information: 
  3. Lot Number - Enter the lot number for the pallet(s).
  4. Quantity - Select or type in the number of pallets.
  5. Completed - Select this check box if the order has been assembled and is ready for shipping.
  6. Date Picked - Select the date that the order was assembled. This is only available if you’ve selected the Completed check box.
  7. Select the Contents tab and enter the following information.
    • Qty - Enter the quantity of items (for example, if you’re shipping five 20 lb. bags of potatoes, enter 5 under Qty.) 
    • Commodity - Enter the name of the commodity being shipped or select it from the drop-down menu (for example, enter 20 lb bags of Shepody Potatoes.) 
    • Packing Material -Enter the type of material the commodity is packed in or select a type from the drop-down menu. 
    • Grade - Enter the commodity’s grade or select it from the drop-down menu. 
    • Amount - Enter the amount in each item (for example, if there are five 20 lb. bags of potatoes, enter 20 and select a unit from the drop-down menu.)
    • Note: You can enter as many items as needed to fill the pallet(s). Click to add new commodities to the pallet(s). Click to delete a selected line from the list.
  8. Select the Traceability tab and enter the following:
    • Grower - Enter the grower of the commodity or click the binoculars icon to select from a list.
    • Crop - Select from the list (the crop being shipped).
    • Lot # - Enter the lot number for the harvest.
    • Harvest Date - Enter the date the commodity was harvested.
    • Note: Click to add a new harvest record to the order. Click to delete a selected line from the list.
